PROQUIS Document Control provides a secure repository for documents, of all kinds, and helps manage the document change control process.

Document Control provides the ability to record and maintain details about document, imported documents from almost any source, track changes made in the editing documents, control and restrict access to documents and critical record data, archive versions as they are replaced with newly edited ones; and maintain all the associated information including improvements, rejections and the people involved. Further technical controls are provided for FDA and FAA requirements for electronic records and electronic signatures (21 CFR Part 11)

The major advantage of PROQUIS is in providing access to documents over local networks, wide area networks, and even to remote users with appropriately secure web based connections. Staff with appropriate security permissions has live access to the latest documents wherever they may be.

Secure repository of documents

Document Control in PROQUIS is in touch with the modern world. Every aspect of the Document Control System can be handled electronically. You can store the details of all kinds of documents with no physical files in your network.

The documents are stored within the PROQUIS application database. The only way to access the document is to open it through PROQUIS or the PROQUIS Document Viewer. You have total control over who appears on your document distribution list and exactly what level of access they have. Using the Document Viewer, it also gives your document users a simple interface to your documents. For additional security, live released documents can be auto-converted to Adobe PDF format too. The live version is not editable.

Version Control

PROQUIS is based around the good practices of Quality Management, with all documents stored in the system having full history tracking for changes, issues and withdrawals. Previous issues of documents can be automatically archived, with the retention period being defined. This may be by number of revisions, number of years or even indefinitely. This enables document retrieval in the future, directly from the database; this is especially useful if you need to check on how things were done at a certain point in time. Document change requests can be raised on demand and a full authorization process for change approval can be implemented.
